AVID Center complies with federal and state disability laws and makes reasonable accommodations for individuals with disabilities. If a reasonable accommodation is needed to access any AVID program or information provided to the general public, please complete the following form with 5 days advance notice for virtual events and 10 days advance notice for face-to-face events, listing any needs you may have.
Closed Captioning/Transcripts
All videos in AVID’s Community of Practice include closed captioning and/or transcripts. These can be accessed on the eLearning page where the video is embedded. Most videos in the Community of Practice are watched individually where the closed captioning can be turned on and transcripts can be reviewed. Please plan to bring headphones to be used to view the videos. If you would like further information on how to access closed captioning and/or transcripts of the videos, please see your assigned staff developer for more explicit directions during the learning experience.
Dietary Requests
AVID Center works closely with our contracted venues’ banquet departments to provide reasonable accommodation for dietary needs. The hotels that we work with can provide gluten-free, vegetarian, dairy free options but cannot guarantee that the food will not be cross-contaminated.
Due to the potential reaction from cross-contamination that individuals with celiac disease and gluten sensitivities, AVID recommends participants with these specific dietary needs consider bringing their own meal alternative.
Interpreters
Participants must submit an ADA Request form at least 4 weeks prior to the event. If the request is made less than 4 weeks before the event, we cannot guarantee that we will be able to accommodate the request. As soon as we receive your request, someone from the events team will be in touch to gather additional details.
Nursing People Room
This room is available throughout the duration of the conference and is designed to offer a peaceful and supportive environment for nursing mothers. Please see the Help & Info Desk at each venue for a key.
Seating Requests
To ensure a comfortable and inclusive experience during General Session, reserved areas within the ballroom are provided for wheelchair users. These spots offer prime viewing and are conveniently located to ensure easy access to and from the ballroom space. Please follow signs for the ADA entrance to be directed to this reserved area.
If you require seating accomodations closer to the presenter in your CoP room due to hearing or visual impairment, please submit an ADA Request Form.
Service Animal
We understand the essential role that service animals play in assisting individuals with disabilities. Therefore, we welcome attendees with disabilities to bring their service animals to our events. Under the ADA, a service animal is defined as a dog that has been individually trained to do work or perform tasks for an individual with a disability. The task(s) performed by the dog must be directly related to the person’s disability. If you plan to bring a service animal to our event, we kindly ask that you inform us in advance so that we can make any necessary accommodations. The service animal must be under the control of its handler at all times and must be harnessed, leashed, or tethered, unless these devices interfere with the service animal’s work or the individual’s disability prevents using these devices.
Emotional support animals and comfort animals are not recognized as service animals under ADA guidelines, and are not permitted at this event. Thank you for your understanding and cooperation.
Wheelchair Accessability
Recognizing the diverse needs of our guests, we have lower check-in kiosks available for those who may require them. This ensures a smoother, more comfortable registration process for everyone, including those with mobility issues. Our event spaces are all ADA accessable.
